Accommodation

Several categories of accommodation have been reserved for the Conference participants.
Reservations must be made through the Conference Office to guarantee the indicated rates negotiated for the event.

All rates are indicated in Euros, per night and per room. Rates may increase without notice due to changes in government charges, taxes or levies

TO MAKE A RESERVATION

In order to benefit from the above mentioned rates, reservation requests have to be submitted and handled exclusively by MCI.
Reservation requests have to be submitted to the Conference Office in the two following ways:

  • by secure online registration and payment : please click here.
    Please note that in order to book online, you have to do it at the same time as your registration and you need pay by credit card (VISA, MASTERCARD, EUROCARD, AMERICAN EXPRESS).
  • by fax or post: in this case, the hardcopy registration form needs to be completed and sent to the Conference Office accompanied by your payment. Please click here to download it in Pdf format

RESERVATION PROCEDURE

A one-night deposit is requested to guarantee your reservation. Deposit will have to be made in Euros only.
A fixed charge of 20 € per reservation for handling fees will be required for all hotel reservations.
The pre-paid deposit will be deducted from your total hotel bill upon check-out.
“No Shows” on the first night will automatically cancel the entire reservation, involving the loss of the entire deposit; hotels reserve the right to charge you also for the remaining cancelled nights uncovered by the pre-paid deposit.
If you shorten your stay, hotels reserve the right to charge you for the balance of your stay.

Confirmation
Upon receipt of your hotel reservation request, MCI will mail you an invoice/confirmation letter summarizing accommodation details and specifying payment status.

Hotel Check-in Procedures
As per standard hotel procedures delegates will be required to provide a credit card or cash deposit upon check in to cover any incidentals and remaining room nights regardless of deposit payment received.

Change of Booking
Any change to a reservation must be notified to the Congress Managers and not directly to the hotel. 

Arrival Time
Hotel check-in time is usually 14h00 / 15h00 hours.  If you are to arrive before this time it is probable that you may not be able to gain access to your room.  To guarantee a room to be available for an early arrival you will need to pre-register and pay for your room for the previous night.  If required please indicate on your registration form.

Cancellation Policy
All cancellations must be notified in writing (by fax or regular mail BUT NOT email) to the Conference Office according to the conditions hereafter.
Requests for refunds made after June 30th, 2008 will not be considered.
Potential refunds will be processed after the Conference.

  • Up to 5th December 2007: 100 euros will be withheld as administrative fee.
  • Cancellations between 6th December 2007 and 31st January 2008: refund of 50% of the agreed deposit.
  • After 31st January 2008: no refund.

No registration fee refund will be issued for cancellation or non-attendance due to failure to obtain a visa.

Individual Account
All guests will be responsible for their own accommodation and incidental charges which are to be settled upon departure from the hotel.
